Microsoft Excel – Common Shortcuts

By now, you are probably familiar with Microsoft Excel. It is used by businesses and individuals right across the world. But how much do you know about its shortcuts? Our guide takes you through some of the most helpful shortcuts to know about Microsoft Excel. A good example of this is CTRL+PgUp. This is a command that will switch between worksheet tabs going from left to right, making the process of navigation much easier than taking the time to do it manually.

The CTRL key is something else it is very useful to know about in relation to Excel as it offers up quite a few good shortcuts. For instance, if you press CTRL+A when working on a sheet that has got data entered into it, it will highlight the current region. Then you can copy all of those highlighted cells by pressing CTRL+C. Otherwise, pressing CTRL+A will also highlight the whole worksheet, which can be a quick way of selecting a large amount of information.

If you look at the top row of your keyboard, you will find the function keys. These are useful to know about in terms of Excel. Let’s take the F9 key as an example. If you want a snapshot of the data on all the worksheets you’ve currently got open, just press F9 and it will calculate them. You can also press SHIFT+F9 to calculate just your active worksheet, and pressing CTRL+F9 offers another shortcut that will minimize your current workbook window.

The arrow keys on your keyboard also provide some very interesting Microsoft Excel shortcuts. If you want to highlight specific sections of data, for example, you can press CTRL+SHIFT plus an arrow key to highlight the desired column or row. To move to the end of the relevant row or column of data, you can press CTRL and then an arrow key. At their simplest level, pressing the arrow keys allows you to easily navigate through the spreadsheet by using up, down, right and left.

The spacebar and TAB keys on your keyboard also have some use when it comes to using Microsoft Excel. For instance, if you press CTRL+TAB it will move you on to the next cell. If you want to move back to the previous cell on the worksheet you can do this by pressing SHIFT+TAB. In terms of the spacebar, you can use this in dialog boxes to perform actions that have already been highlighted. You can also select a row by pressing SHIFT+SPACEBAR, or a column by using CTRL+SPACEBAR.
